Privacy statement

As a user of our website, you will receive the necessary information in this privacy statement about how and to what extent and for what purpose the VCCA/University of Oldenburg collects data from you and how it is used. The data will be processed and used within the University of Oldenburg and will not be passed on to third parties outside the EU. In case participants give their consent to be put on the mailing list of the Computational Audiology interest group, email addresses will be forwarded to Jan-Willem Wasmann, Radboud University Medical Centre, Nijmegen, Netherlands.
  • The conference organizers receive access to the participants' contact data for the purpose of the administration of the online conference.
  • The IT Services of the University have access to the data of the participants in the course of the administration of the technical resources; the IT Services also evaluate log data if necessary
  • During the online conference, communication data and uploaded content can be viewed by other participants.
 

Legal basis

The collection and use of your data takes place strictly in accordance with the legal requirements. Regulations can be found in:
European General Data Protection Regulation (EU GDPR, especially according to Art. 12 ff. and Art. 6 (1) lit. a)
Federal Data Protection Act (BDSG)
Lower Saxony Data Protection Act (NDSG)

Telecommunications and Telemedia Data Protection Act (TTDSG)
State Treaty on Media Services (MDStV).

Personal data

Personal data is stored by us for the purpose of administrative user management, to contact and interact with you and to provide personalized services [to hold the VCCA conference at the University of Oldenburg].
The following data is requested and stored for the use of the conference center:
  • Username
  • First name, Last Name
  • Email address

Other data that may be saved for you is content that you post yourself as part of your participation in the VCCA. This includes:
  • Voluntary personal information
  • Posts in forums
  • uploaded files
  • Chat history in Blubber
  • internal messages
  • Calendar entries and timetables
  • Participation in courses, study groups, organizational committees
  • Personal settings and configurations
  • Recordings of the sessions you participated (within the system)
This content is saved and displayed with your real name. You can use the privacy settings to determine yourself whether and, if so, which groups of people are allowed to see this data. This data is stored encrypted internally by the conference system.
 

Retention periods

Your personal data will be stored at the University of Oldenburg for the VCCA. Your data will be deleted after your activity has ended and the statutory retention periods have expired.

Information, deletion, blocking, right to withdrawal

Upon request, you will receive information about the personal data we have stored about you and the purpose of data collection and processing at any time. Please use the above contact address for this purpose.

You also have the right to request that your data be corrected, blocked or deleted. You can revoke your consent without giving reasons by writing to the above contact address. Your data will then be deleted immediately. However, further use of the conference system is then no longer possible.

Excluded from deletion are data that are stored due to legal regulations or required for proper business transactions. So that a data lock can be implemented at any time, data is kept in a lock file for control purposes.

If data is not covered by a statutory archiving obligation, we will delete your data at your request. If the archiving obligation applies, we will block your data. For all questions and concerns regarding the correction, blocking or deletion of personal data, please contact our data protection officer using the contact details in this data protection declaration or the address given in the legal notice.

You have the right to withdraw your consent in whole or in part at any time. The withdrawal of consent does not affect the lawfulness of processing based on the consent before its withdrawal. You can either technically implement your withdrawal yourself, i.e., by withdrawing access to the webcam or microphone or by logging out of an ongoing conference. If you cannot technically implement the withdrawal, please contact the executive body.

Data portability

You have the right to receive your data at any time. On request, we will provide you with your data in human-readable, common and editable formats.

Cookies

The system uses a session cookie. This small text file only contains an encrypted string that helps you navigate the system. The cookie is deleted when you log out of the system or when you close your browser.

Server log files

With access to the conference system, the IP address, date, time and browser version are registered and anonymized at the time of access. The collection and use of this log file data is only used for analysis for purely statistical research and evaluation purposes of the learning platform, so it is not stored or evaluated in connection with name or email address. This data is stored on secure systems of the University of Oldenburg for a period of 5 days and is also not passed on to third parties.

SSL encryption

The connection to the conference center is made with SSL encryption. Data encrypted via SSL cannot be read by third parties. Only transmit your confidential information with activated SSL encryption and contact us in case of doubt.

Rights as a data subject

As a person affected by the processing of personal data in accordance to the GDPR you have the following rights:
